2024 Chinese Moon Festival - Vendor Recruitment

Vendor Recruitment: Food Vendor - $150.00/spot,  Non-Food Vendor - $100.00/spot, Not For Profit Vendor- $50.00/spot

Notes:

  1. Spot size: 10 feet by 10 feet Maximum.
  2. Tents (smaller than 10 feet by 10 feet) and power cords are self-provided. Tables and chairs can be provided.
  3. Food vendors are required to apply for a Food Permit on their own. Local restaurants may not need an additional food permit. For permit inquiries, please consult:  https://www.phsd.ca/professionals/owners-operators/food-premises/applications-permits-requirements/#special%20or%20farmers%20event; However, no food permit is required for prepackaged food sellers.
  4. All vendors have to provide the City of Greater Sudbury with a certificate of insurance for a minimum of 2 million dollars and name the City of Greater Sudbury as additionally insured.
  5. Only 5 foods, 8 merchandise and 5 non-profit organization booths are offered. Please submit your Vendor Application through registration. Applications will be reviewed on a first-come first-served basis. CAGS will review the applications and determine vendor placements through a drawing.  
  6. Application deadline: August 2, 2024. After approval by CAGS, the applicant will be officially notified of the payment method and booth information by email before August 5, 2024. The vendor is responsible to transfer the fees before August 10, 2024 and email the payment screenshot. Once CAGS confirms your payment, the reservation is successful.
  7. Cancelation & Refund:
    a) Cancellation by Us - We will only cancel the event due to unavoidable and extraordinary circumstances which are out with our control or which might jeopardize your safety. If we cancel it, we will notify you as soon as possible and we will always refund you, in full, for all sums paid by you;
    b) Cancellation by You - If you wish to cancel your booking after our booking confirmation has been issued, you should email us as soon as possible – the effective date of cancellation will be the date upon which we receive such notification. In the event of cancellation by you, the following cancellation charges shall apply (depending on the effective date of cancellation): 1) Cancellation before August 15,2024, 20% of your vendor fees; 2) If cancelled after August 15, 2024 or in the event of a ‘no show’ you will be charged 100% of your vendor fees.

  5. 本次活动仅设置5个食品摊位、8个商品摊位以及5个非盈利组织摊位,先到先得;请点击注册. 提交Vendor申请,具体摊位由主办方抽签决定。
  6. 摊位招募截止日期:2024年8月2日,CAGS审核通过后将在2024年8月5日前通过邮件正式通知申请方付款方式及摊位信息;请摊主务必在2024年8月10前付款,付款后邮件通知主办方并提供付款截图,主办方确认收款后说明预订成功。
  7. 取消及退费政策:a) 主办方取消,我们只会因为无法控制或可能危及您安全的不可避免和特殊情况而取消活动;如果我们取消您的预订,我们会尽快通知您,并全额退还您支付的全部款项;b)如果您希望在我们发出预订确认后取消您的预订,您应尽快邮件通知我们,取消的生效日期将是我们收到该邮件通知的日期;如果您取消,需要支付如下取消费用(视取消生效日期而定): 1) 2024年8月15前取消,您已付摊位费的20%;2) 3) 2024年8月12之后取消或者活动日您未到场,您已付摊位费的100%。
